Minimum Qualifications
Requires at least a baccalaureate degree in the field. Please contact your Human Resources office for an evaluation of education/experience in lieu of the required minimum qualifications.

Preferred Qualifications
Baccalaureate degree or at least five years of experience in the field. Familiarity with graduate education and graduate funding is strongly preferred.

Position Summary
This is a highly responsible professional position in the Graduate School Business Office. The position involves a variety of financial and administrative duties. The incumbent will be responsible for managing the Graduate School's foundation accounts, processing graduate application fees, administering the Graduate School's travel awards (domestic and international), reconciling departmental accounts, assisting with human resources functions, and performing administrative duties. This position involves detailed knowledge of the policies and procedures of the University. Duties are performed under the general supervision of the Chief Business Officer and Associate Director. Responsibilities consist of sensitive, high-profile, and confidential nature, which include personnel matters.

  • Considerable knowledge of business, human resources, and university policies and procedures.
  • Ability to communicate effectively with various levels of personnel.
  • Exceptional interpersonal skills and attention to detail.
  • Working knowledge of UGA Systems (UGA Financial Management System, UGAJobs, GradSLATE, FAME, Grad Status, OIR Reports, ScholarshipUniverse, TouchNet, and Banner).

      • Maintain departmental accounts, perform monthly account reconciliations, and transfer funds for Graduate School awards.
      • Review and approve/deny travel authorizations, expense reports, budget journals, payment requests, and purchase orders.
      • Manage all Graduate School foundation accounts.
      • Manage deposits for graduate application fees.
      • Process scholarship and stipend payments for non-payroll awards.
      • Manage the fiscal aspects of Graduate School travel awards (domestic and international).
      • Provide financial reports on a routine basis.
      • Report any discrepancies to the Chief Business Officer or Associate Director.

        Percentage of time


        • Serve as the business office representative for assigned Directors.
        • Assist with hiring graduate students and staff in UGAJobs.
        • Assist with financial-related questions.
        • Provide guidance on Graduate School and university policies and procedures.
        • Stay abreast of policy and procedure changes by utilizing staff development opportunities through training courses and campus-wide informational sessions.
        • Serve as a backup for other business office staff.

          Percentage of time


          • Assist with managing the department email account, answering tuition waiver questions, and other administrative duties.
          • Assist with special projects.
          • Advise students, faculty, and staff on Graduate School policies and procedures.
          • Participate in workgroups to develop or implement improvements for business office processes.
          • Assist with other duties as assigned by the Chief Business Officer or Associate Director.
